Privacy Statement

Last updated 6 June 2026

Your work in NoseDesk is personal — often the result of years of craft. This statement explains what we collect and how we use it, in plain language. The short version: we use your data to run the Service for you, your private formulae and BrainDesk queries are not handed to third-party AI providers, and we never sell your data.

1. Who we are

NoseDesk (“NoseDesk,” “we,” “us”) provides a workbench for independent perfumers — including the website, the BrainDesk assistant, the formula workspace, and related tools (the “Service”). This statement explains what personal information we collect, how we use it, and the choices you have. We are the controller of the personal information described here.

2. Information you give us

When you create an account we collect your name, email address, and authentication details. We also store the content you create in the Service — including your formulae, versions, notes, libraries, and the queries you send to BrainDesk — so that we can save your work and show it back to you.

3. Information we collect automatically

When you use the Service we collect basic technical and usage data, such as your device and browser type, approximate location derived from your IP address, pages viewed, and the actions you take. This helps us keep the Service secure, diagnose problems, and understand which features are useful.

4. How we use your information

We use your information to operate and secure the Service, to save and sync your work across sessions, to power search and BrainDesk recommendations, to respond to your support requests, to send essential service messages, and to improve the Service. We process your information only for these purposes, on the legal bases of performing our contract with you, our legitimate interests in running a reliable service, and your consent where required.

5. AI, your formulae, and your queries

Privacy is built into how BrainDesk works. Your private formula data and your BrainDesk queries are not shared directly with a third-party AI provider, and we do not use them to train third-party AI models. Recommendations come from algorithms NoseDesk develops in-house, running on data we hold for you. We use your content only to generate results for you and to operate the Service — not to build profiles for advertising.

6. Supplier and catalog data

The Service surfaces materials and catalog information sourced from suppliers and public references. That catalog data is not your personal information; it may be owned by the respective suppliers or sources from which it originates. We combine it with your private libraries only to show you relevant results within your own workspace.

7. When we share information

We do not sell your personal information. We share it only with service providers who process data on our behalf (for example, hosting, database, error-monitoring, and email delivery) under contracts that limit them to our instructions; when required by law or to protect the rights, safety, and security of NoseDesk and our users; and as part of a merger, acquisition, or sale of assets, in which case we will notify you.

8. Cookies and analytics

We use a small number of cookies and similar technologies that are necessary to sign you in and keep the Service working, along with privacy-respecting analytics to understand aggregate usage. You can control non-essential cookies through your browser settings; disabling essential cookies may stop parts of the Service from working.

9. Data retention

We keep your account information and content for as long as your account is active. If you delete content or close your account, we delete or anonymize the associated personal information within a reasonable period, except where we must retain it to comply with legal obligations, resolve disputes, or enforce our agreements. Backups are purged on a rolling schedule.

10. Security

We use technical and organizational measures — including encryption in transit, access controls, and row-level data isolation between accounts — to protect your information. No method of transmission or storage is perfectly secure, but we work to protect your data and to notify you of incidents where the law requires it.

11. Your rights and choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. You can manage much of your data directly in the Service, and you can contact us at [email protected] to exercise any of these rights. We will not discriminate against you for doing so.

12. International transfers

NoseDesk is built in Chicago and may process and store information in the United States and other countries where we or our service providers operate. Where we transfer personal information across borders, we rely on appropriate safeguards as required by applicable law.

13. Children’s privacy

The Service is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18, or the age of majority in your jurisdiction. If you believe a minor has provided us with personal information, please contact us and we will delete it.

14. Changes to this statement

We may update this Privacy Statement from time to time. When we do, we will revise the “Last updated” date shown above, and material changes will take effect when posted. Your continued use of the Service after changes take effect constitutes acceptance of the revised statement.
