Data Usage
Last updated 6 June 2026
This policy explains, in plain language, what NoseDesk does with the formulae, notes, and BrainDesk queries you create. The short version: your data is used to run the Service for you, recommendations come from in-house algorithms rather than third-party AI providers, and your private work is never sold or shown to other users.
1. Purpose of this policy
This Data Usage Policy explains how the data you create and generate in NoseDesk (the “Service”) is used. It complements our Privacy Statement: the Privacy Statement covers personal information broadly, while this policy focuses on what we do with your workspace data — your formulae, notes, libraries, and BrainDesk queries.
2. The data this covers
This policy applies to the content you create or generate in NoseDesk — including formulae and their versions, ingredient libraries, linked notes, search history, and the prompts and queries you send to BrainDesk. It also covers the catalog and material data the Service surfaces from suppliers and public references.
3. Using your data to run the Service
We use your workspace data to do the job you came for: to store and version your formulae, to power search across the suppliers and materials you’ve connected, to generate BrainDesk recommendations, to autolink notes to the work they’re about, and to sync your workspace across sessions and devices. In short, we process your data to deliver the features you use.
4. AI processing and in-house algorithms
BrainDesk recommendations come from algorithms NoseDesk develops in-house. Your private formula data and your BrainDesk queries are not shared directly with a third-party AI provider, and we do not use your content to train third-party AI models. Your data is processed to produce results for you — not to build a shared model on top of your creative work.
5. What we never do with your data
We do not sell your workspace data, we do not rent or trade it for advertising, and we do not expose one user’s private formulae or notes to another user. Recommendations shown to you are derived from your own data and from non-personal catalog data — never from another perfumer’s private work.
6. Aggregated and anonymized data
We may create aggregated or de-identified statistics — for example, which features are used most, or how often searches succeed — to operate, secure, and improve the Service. This data is stripped of information that identifies you or reveals the content of your formulae, and it cannot reasonably be used to re-identify you.
7. Supplier and catalog data
Catalog and material data surfaced in the Service may be owned by the respective suppliers or sources from which it originates. We use it to power search and recommendations within your workspace. It is not your personal data, and your private libraries are not added to any shared catalog without your action.
8. Service providers and processing
We rely on a small set of service providers to process data on our behalf — such as hosting, database, error monitoring, and email delivery. They act only on our instructions under contract, may access your data only as needed to provide their service, and may not use it for their own purposes.
9. Your control over your data
Your data is yours. You can edit or delete your formulae, notes, and libraries in the Service, and you can request a copy of your data or deletion of your account by contacting us at [email protected]. When you delete content, we remove it from active systems and purge it from backups on a rolling schedule.
10. Retention
We keep your workspace data for as long as your account is active so that your work is there when you return. After you delete content or close your account, we delete or anonymize the associated data within a reasonable period, except where we must retain it to meet legal obligations or resolve disputes.
11. Changes to this policy
We may update this Data Usage Policy from time to time. When we do, we will revise the “Last updated” date shown above, and material changes will take effect when posted. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
